Information for Supervisors

***If you have positions that need to be filled, please email us to have your opening posted to the Student Employment page. Students who have not completed a General Application will NOT be permitted to sign a hiring contract (with the exception of rehired students).***

Please note the following changes to the 2014-2015 Student Employment Process:

Part I: PENALTY FOR STUDENT EMPLOYEES WITH NO CONTRACT

A SUPERVISOR WHO PERMITS A STUDENT TO COMPLETE HOURS PRIOR TO NOTIFICATION OF COMPLETION OF HIRING PAPERWORK WILL LOSE THE PRIVILEGE OF STUDENT EMPLOYEES FOR UP TO ONE FISCAL YEAR. 

IN SHORT, DO NOT ASSUME THAT A STUDENT IS ABLE TO BEGIN WORK UNTIL YOU RECEIVE AN EMAIL NOTIFICATION FROM PAYROLL STATING SO. 

Every student is required to complete a new contract when:

  1. It is the start of a new budget year (so, returning workers must fill out a new contract in August)
  2. Working a student employment position for the first time
  3. Before July 1st if working in the summer
  4. Transferring from one department to another
  5. Receiving a pay raise within a department

The aforementioned penalty will be applied if it’s found that a student is attempting to submit a time sheet for a position for which no new contract has been received.

Part II: CONVERSION TO ELECTRONIC TIME SHEETS

As of WEDNESDAY AUGUST 27, 2014, GREEN PAPER TIMESHEETS WILL NO LONGER BE ACCEPTED by Payroll. Instructions on how to complete electronic time sheets will be sent to supervisors via email from Payroll once a students’ hiring paperwork has been completed, and training will be available for students in the Career Center.

PART III: REVISIONS TO HIRING PROCESS

Online Application:  All students seeking a work-study position, WITH THE EXCEPTION OF REHIRES FROM SPRING SEMESTER 2014, will complete an online application for open positions, which will be posted on the Student Employment section of the Career Center website.  All applications will be sent from The Career Center (Ginna Oksienik) to supervisors so that supervisors may choose their hires according to candidates’ skills, availability, and written statement of interest in the position.

A student employee may NOT be hired unless they have first completed an application, which will be verified by Career Center staff. Rehires from the previous semester will be exempt from this rule.

Departments are encouraged to provide their own additional applications, skills forms, and interviews to students to ensure that qualified and serious candidates are hired.

GENERAL NOTES

  • All supervisors should notify the Career Center of any changes in the status of a student employee as soon as possible throughout the semester
  • Paper contracts will NO LONGER be distributed – students must obtain contracts and other hiring paperwork from the Career Center
  • It is supervisor’s responsibility to ensure that students do not exceed the 10 hour per week limit
  • If a student works more than 5 consecutive hours, he/she must record a half-hour break on his/her timesheet
  •  Federal work-study students who work on-campus are not covered under Worker’s Compensation. If the federal work-study student is injured on the job, the Career Center should be notified so that a proper report can be filed.
