Title  Office Manager & Program Coordinator
Description  POSITION: Office Manager/Program Coordinator. This is a newly-created full-time position combining the roles of Office Manager and its related duties with Program
Coordinator -- interacting with students, PEP families, and PEP staff. The Office Manager/Program Coordinator will work closely with the existing full time staff,
including the Executive Director, Assistant Executive Director and the Academic Coordinator.

LOCATION: Summit, NJ

REPORTS TO: The Executive Director

RESPONSIBILITIES:

As part of running the office, acts as the receptionist, is responsible for all internal and external mailings (hard copy and electronic), updates and maintains student
folders (both electronic and hard copy), including attendance records.

Working with the School District, collects academic data from schools, and maintains information about students and families in FileMaker Pro. Does the
scheduling/calendaring for students, parents, conferences and schools

Working on the After-School Program, assists with students’ daily needs and routines, distributes snacks and dinner to students, and, as needed, with sick or injured
children and with opening and/or closing the facility.

Working with the parent/families of PEP, acts as the liaison with the Summit schools. This includes attending school and community meetings and encouraging parental
engagement.

Providing information to parents/families in order to improve home-school-PEP communication, including reminding parents of their responsibilities, including cooking
night.

Tracking student participation and providing updates to staff on the Community Service Projects; and, chaperoning events when needed.

Coordinating and helping plan trips and events including helping to create and distribute mailings and invitations, permissions slips, and tracking the RSVPs; arranges
transportation, when needed

Helping the Assistant Executive Director organize summer camp forms with parents and assists with camp supplies.

Updating the PEP website regarding monthly events, news, and the like
Required 
Skills 
QUALIFICATIONS
• College graduate
• Must speak and write fluently in both English and Spanish
• Experience in a school setting
• Valid driver’s license and good driving record
• Proficiency in the suite of Microsoft products including Word, Excel, PowerPoint; familiarity with FileMaker pro a plus

Description  The PEP Program is an after-school program that is committed to motivating and encouraging selected Summit Public School students. The students selected have a
demonstrated need, a potential to perform, and an aspiration to obtain a post-secondary education and, in general, to become productive and responsible members of
the community. PEP augments the Summit, NJ public school program with tutors working on educational skill building, direct instruction, and enrichment; college
preparatory skills and support; cultural activities; and community service. Students who complete the program receive financial scholarships to college and continued
support.
