Position Information

Title  Front Office Assistant
Description  POSITION PURPOSE:

Help ensure a professional, functional, safe and enjoyable work environment for the Front Office team. Project a professional company image through in-person and phone
interaction. Perform daily procedures to ensure reception and guest areas are presentable at opening and throughout the business day.

ESSENTIAL FUNCTIONS:

Answer, screen, and route phone calls
Greet and announce all visitors
Oversee conference room scheduling
Manage/coordinate office functions/meetings (catering, logistics, set up/clean up)
Distribute mail, accept/send packages for the office
Perform general clerical duties to include but not limited to: photocopying, distributing faxes, and filing
Ensure proper postage is on all outgoing mail.
Responsible for ordering and controlling inventory levels of basic office supplies and stationary.
Responsible for maintaining all aspects of the kitchen and conference rooms.
Other projects/tasks as assigned

Full or partial College studies desirable
Prior administrative experience
Strong orientation toward customer service; one stop shopping mindset
A quick thinker, proactive and strong attention to detail and accuracy
Agile: energetic and adaptable to changes in a fast paced environment; can manage competing demands and is able to deal with frequent change, delays or
unexpected events
Resourceful: strong problem solving skills; able to anticipate needs and opportunities
Dependable and responsible with excellent work ethic, able to work occasional extended hours
Must have excellent communications skills and highly organized with the ability to simultaneously manage multiple tasks.
Possess excellent time management skills and ability to prioritize workload.
Proficient in Microsoft Office (Word, Excel, PowerPoint, etc.) and Lotus Notes
Fluency in Spanish is a plus
